JobGen.AI — Privacy Policy

This Privacy Policy explains how JobGen.AI collects, uses, discloses, and protects personal information. It applies to our website (jobgen.ai), the JobGen.AI Recruiter Platform, and related services. It should be read together with our Terms of Service and Data Processing Agreement.

1. Who We Are & Our Two Roles

JobGen.AI provides recruitment software to recruitment agencies, staffing firms, and independent recruiters ("Recruiters"). We handle personal information in two distinct roles:


2. Information We Collect

Account & billing data (Recruiters): name, email, organisation, role, authentication identifiers, and payment details (processed by our payment provider).

Usage & device data: log data, IP address, device and browser information, feature usage, and credit consumption, collected via cookies and similar technologies.

Candidate & business contact data (provided or generated by Recruiters): names, contact details, resumes/CVs, work history, tags, and — where Recruiters choose to record it — salary expectations, notice period, and right-to-work status.

Communications data: the content of messages sent or logged through the Platform (email, SMS, WhatsApp, LinkedIn), and call recordings, transcripts, summaries, sentiment, and extracted fields where calls are recorded.

Enrichment data: business contact and company information (such as phone numbers, email addresses, and hiring signals) sourced from third-party data providers and surfaced to Recruiters.


3. How & Why We Use Information

We use personal information to:

3.1 Google account connection. If a Recruiter chooses to connect a Google account, JobGen.AI uses Google OAuth to access only the Google user data and Gmail permissions the Recruiter authorises. We use basic Google profile information such as name, email address, profile information, and account identifier to connect the correct Gmail mailbox to the Recruiter's JobGen.AI account.

3.2 Gmail permissions. When authorised, the Platform uses the following Gmail scopes only for user-facing recruitment workflows:

3.3 Google data protections. Google OAuth tokens are encrypted and used only to provide these recruitment features. Recruiters can disconnect Gmail in the Platform settings. We do not sell Google user data, do not use Google user data for advertising, and do not use identifiable Google user data to train general AI models without explicit consent. Our use and transfer of Google user data is limited to the practices disclosed in this Privacy Policy.

3.4 Microsoft account connection. If a Recruiter chooses to connect an Outlook or Microsoft 365 account, JobGen.AI uses Microsoft OAuth and Microsoft Graph permissions only as authorised by the Recruiter. We use basic Microsoft account information such as name, email address, profile information, account identifier, and tenant identifier to connect the correct Outlook mailbox to the Recruiter's JobGen.AI account.

3.5 Outlook and Microsoft Graph permissions. When authorised, the Platform uses the following Microsoft Graph permissions only for user-facing recruitment workflows:

Our use and transfer of Microsoft user data is limited to the practices disclosed in this Privacy Policy.


4. Legal Bases

Where the Australian Privacy Principles apply, we handle personal information in accordance with the Privacy Act 1988 (Cth). Where the GDPR or other laws apply, we rely on one or more of: performance of a contract, legitimate interests, consent, and compliance with legal obligations.


5. Disclosure & Service Providers (Subprocessors)

We share personal information with trusted service providers who help us run the Platform, including providers of hosting and storage, telephony and messaging, call transcription, AI models, contact enrichment, payments, accounting export, and authentication. A current list of subprocessors is maintained in our Data Processing Agreement. We may also disclose information where required by law or in connection with a business transfer. We do not sell personal information.


6. Where Your Data Is Stored (Data Residency)

Platform data is primarily stored in Australian and United States data centres. Where personal information is transferred outside Australia, we take reasonable steps to ensure it is handled in accordance with Australian Privacy Principle 8 (cross-border disclosure), and, where the GDPR applies, we use Standard Contractual Clauses or another lawful transfer mechanism.


7. Data Retention

We retain account data for as long as your account is active and as required for legal and accounting purposes. Candidate and business contact data is retained according to the relevant Recruiter's instructions and our Data Processing Agreement. Recruiters on paid plans receive a 30-day export window on termination; data on free, trial, or beta plans is handled as described in our Terms of Service. We retain de-identified and aggregated data, and suppression-list entries needed to honour opt-outs, for longer periods.


8. Security

We use technical and organisational measures to protect personal information, including encryption in transit and at rest, strict tenant isolation, role-based access controls, audit logging, and secure storage of integration credentials. No system is completely secure, and we cannot guarantee absolute security.


9. Your Privacy Rights

Subject to applicable law, you may request to access, correct, delete, or export your personal information, object to or restrict certain processing, or withdraw consent. To make a request, email support@jobgen.ai. We may need to verify your identity. If you are a candidate or contact whose data was provided by a Recruiter, we will direct your request to that Recruiter (the controller) and assist them in responding. You may also lodge a complaint with the Office of the Australian Information Commissioner (OAIC) or your local data protection authority.


10. Cookies & Analytics

We use cookies and similar technologies to operate the website and Platform, remember preferences, and understand usage. You can manage cookie preferences through your browser settings; disabling some cookies may affect functionality.


11. Children

The Platform is intended for business use and is not directed at individuals under 16. We do not knowingly collect personal information from children.


12. Changes to This Policy

We may update this Privacy Policy from time to time. Material changes will be notified by email or in-platform notice. The "Effective Date" above indicates when this version took effect.
